Have breakfast ready before the first guest arrives
An early breakfast begins with the access time. Tell us when the building or villa opens to suppliers and when guests should start eating. A delivered pastry and fruit selection needs a different setup from freshly cooked eggs, a buffet or a staffed coffee service. Confirm the format before agreeing the arrival window.
Build the menu around the morning. A short office meeting may need easy-to-handle items and clear dietary labels; a relaxed home breakfast can allow more time for hot dishes and service at the table. Include vegetarian or vegan requirements, allergies and any children in the guest count.
Coffee, tea, juice, cups and glassware should be specified with the food so nothing is assumed. For recurring workplace breakfasts, discuss office catering and a menu rotation. If the morning continues into a longer social occasion, brunch catering may offer a more suitable pace and selection.

Build the service schedule around your guests
Work backwards from the time guests should begin eating. The team may need access earlier for unloading, setup and preparation, particularly when equipment or several service areas are involved. Share the programme before the menu is finalised so the catering plan can support it.
Identify moments when service should pause, such as a speech, presentation or ceremony. For an office event, confirm the length of each break and whether everyone will arrive at once. For a private celebration, allow for the welcome period and any cake or toast that needs its own place in the sequence.
Agree a contact for changes on the day. Small timing adjustments may be manageable, while a substantial extension can affect staffing and the booked hours. Clear communication helps the team respond sensibly and keeps the food connected to the occasion rather than running on a separate timetable.

Make the delivery handover clear
For food-only delivery, nominate someone who will receive the order and confirm the handover details. Share the exact address, access instructions and requested delivery window. If the location is inside a larger building, include the floor, reception process and any restrictions on deliveries.
Know what happens next. Your team may need to arrange the food, provide serving items, replenish the table and handle clear-down. Ask which packaging, labels and serving guidance are included, and check whether any equipment is supplied or needs to be arranged separately.
The menu should suit the interval between delivery and eating. Tell the team if food will be served later or in several stages so the request can be assessed appropriately. Follow the dish-specific instructions provided at handover and ask for clarification where needed. A clear delivery arrangement gives you convenience without leaving important responsibilities undefined.

Give beverages their own service plan
Tell us whether you need only food or would also like drinks service included. Water, soft drinks, coffee, tea and mocktails each create different preparation and replenishment needs. A self-service drinks station may suit one event, while another benefits from a dedicated hospitality professional.
For a larger gathering, consider where guests will collect drinks and how used glasses or cups will be cleared. Ice, refrigeration, glassware and waste handling should be included in the discussion rather than assumed to come with the menu. The service needs to remain practical throughout the event, not only when the first drinks are poured.
Any request involving alcohol depends on the venue and the permitted arrangements and must be confirmed separately. The written scope should make clear what is supplied, what the client or venue provides and which staffing is included. This keeps the beverage plan aligned with the rest of the occasion.
